Group Courses for Adults Terms and Conditions
By enrolling in an Adult Group Course at the Alliance Française de Melbourne (“AFM”), you are agreeing to abide by the policies, procedures and regulations of the AFM. This includes agreement with the following terms. You are also providing confirmation that the information you have provided on enrolment is complete and correct.
1) Registration and Payment
a) The number of places in a course is limited.
b) Enrolment is on a first-come, first-served basis.
c) The full course fee must be paid upfront and in full at the time of enrolment.
d) Courses can be purchased
- ONLINE via our shopping cart;
- OVER THE PHONE on 309525 3463, with VISA or MASTERCARD; or
- IN PERSON at one of our front desks: 51 Grey Street, St Kilda or Level 13, 55 Swanston Street in the CBD. Please note that our CBD is a cashless facility.
- All students must purchase a Registration Fee or a Membership that is valid for the duration of their entire enrolment.
2) Discount and Concession rates
a) Discounts are not cumulative: only one discount applies per person per enrolment.
b) Discounts do not apply to courses, immersion days, immersion weekends, events and workshops held outside Alliance Française de Melbourne.
c) A 10% Members-only discount on group course fees applies to enrolments that are finalised and paid in full at least one week (7 days) prior to the commencement date of the Term. This applies to:
- Enrolments in Group Courses for Adults made by and for current Members;
- Enrolments in 10-Week Term courses and for 5-Week express courses only or other courses when indicated by the AFM.
d) A 5% discount on group courses fees applies to: :
- Enrolments in Group Courses for Adults made by and for:
- Current Health Care Card holders;
- Current Pension Card holders;
- Current VIT-registered French teachers;
- Current Full-Time tertiary students
- Enrolments in 10-Week Term courses or for 5-Week Express courses only.
e) Students must present supporting documentation (i.e. student card, Health Care Card, members card) to confirm their enrolment at
the discounted rate.
f) Discounts are not applicable retrospectively to enrolments that have already been finalised.
3) Student’s Commitment
a) By enrolling in a course, students commit to attend classes for the full length of the course.
b) By enrolling in a course, students commit to stay with the same class group for the full length of the course
c) Applications for any modification to an existing enrolment must be addressed in writing to the Head of Reception.
b) Courses are finite and are bound by
- The course commencement date, defined as the date of the first day of the Term in which the course takes place; and
- The course conclusion date, defined as the date on the last day of a Term in which the course takes place.
e) Catch-Up lessons are available to students enrolled in Group Courses for Adults that have missed classes, subject to the Terms and Conditions outlined for Catch-Up lessons on our website.
4) Level Assessment
a) New students with no formal prior knowledge of French must enrol in A1.1 Beginners or
equivalent (French for Travelers step 1).
b) New students in A1.1 (or an equivalent level) acknowledge that:
- Other students in their class may have had prior contact and knowledge of the French language without ever having had taken formal courses; and
- Despite apparent differences in knowledge that may arise from the above, new students to French and new students that have had little informal exposure to French should enrol in A1.1 French.
c) Level Assessments
- New students with prior knowledge of French must complete and submit a level assessment request form before enrolling in a course.
- Returning students that have not attended courses at AFM for 6 months or more must complete and submit a level assessment request form before enrolling in a course.
- No complaint will be attended to if a student choses to skip the level assessment and/or if they enrol in the wrong class or level without prior consultation of our Education staff.
- If students feel that they have been incorrectly assessed, it is their responsibility to contact us as soon as possible so that we can proceed with a reassessment and provide them with a suitable learning option.
5) Class Size and Cancellation of Group Courses
a) The AFM offers three Course formats for adults:
- Collective Group Courses, formed when 8 students or more enrol in a course;
- Small Group Courses, formed when 5-7 students enrol in a course; and
- Private Tuition, can comprise of 1-7 students. Please see separate Terms and Conditions for Private Tuition on our website.
b) The maximum number of students that can enrol in an Adult Collective Group Course is 15.
c) The minimum number of students required to open an Adult Collective Group Course is 8.
d) Courses that fail to attract sufficient enrolment numbers may be cancelled as a "collective course" and students will be offered an alternative solution, such as:
- The modification of their Collective Course into a Small Group Course. This will be organised and advised on a case by case basis at the discretion of the AFM and in consultation with enrolled students.
- A transfer to an equivalent class or level;
- A transfer of credit to a Private Tuition package;
- The postponement of their enrolment.
If no suitable alternative tuition arrangement can be identified, refunds will be offered if the class is cancelled at the discretion of the AFM.
e) In the event of unforeseen circumstances, the AFM reserves the right to:
- Cancel or reschedule courses;
- Change course details, time or location.
- Students will be notified of such changes as early as possible by e-mail, text messages and phone/voicemail.
6) Deferring your course
a) When a committed student is no longer able to attend class for the remainder of a course, credit for their course fee may be offered at the discretion of the AFM. Credit notes may be provided strictly in the event of one of the following unforeseen circumstances:
- Following an accident, bereavement or trauma (supporting documentation required);
- While receiving medical treatment that prevents the student’s completion of the course or when the student is the primary carer for someone receiving ongoing medical treatment (supporting documentation required);
b) Applications for credit must be addressed in writing by email to the Head
c) Applications for credit for a Term or learning session and/or applicable products sold by AFM must be received in a timely manner and within the timeframe stipulated by the course commencement date and the course conclusion date.
d) Requests to modify an existing enrolment must be received at least 24 hours on the business day prior to the commencement of a Term or learning session. Requests received on a Sunday or on a Public Holiday will not be considered for courses that are held the next day.
e) Credit notes will be calculated according to the value of the course fee, corresponding to the remainder of the course at the time the application is received. Strict conditions apply:
- A $50 cancellation fee applies;
- They cannot be refunded for money;
- Credit Notes are valid for a period of 12 months from the date they are processed.
- Their validity period cannot be extended;
- They are not transferable;
- They are valid exclusively for Collective Group Course purchases.

7) Cancelling your enrolment’.
a) Cancelling your enrolment prior to the course commencement date is possible under the following conditions
- Applications must be addressed in writing to the Head of Reception by email.
- Applications for credit for a Term or learning session and/or applicable products sold by AFM must be received in a timely manner and within the timeframe stipulated by the course commencement date and the course conclusion date.
Applications for cancellations and refunds received after the course commencement date will not be considered except if the student’s situation falls under ‘6 i, ii'.
b) Deferring your course’ as stated above, the cancellation will incur a $50 Cancellation fee. Students will obtain a refund for the remaining balance of their course fee only.
c) The following items are non-refundable
- Registration Fee
- Membership Fee
d) The following items may be refunded at the discretion of the AFM.
- Textbooks if they have not yet been picked up from the AFM Reception or if they are in perfect condition that permits resale; and
- Get Fluent purchases.
8) Public Holidays
a) Classes are not held on Victorian public holidays. Additional time may be added to some classes or rescheduled within the term at
the discretion of the AFM.
b) Refunds will not be given to students who are unable to attend replacement sessions.
